SCOPE OF WORK
Responsible for all administrative functions for two courthouses located in Okaloosa County. Travel between the different locations frequently is required and travel inter-circuit or in the state is required occasionally. Supervise and evaluate an administrative assistant. Responsible for scheduling courtrooms, coordinating all court calendars and jury management in Okaloosa County. The position serves as the court liaison for Americans With Disabilities Act accessibility accommodations in the county and serves on the courts’ Court Emergency Management team in Okaloosa County. The position serves as the media liaison in Okaloosa County as the judiciary’s liaison with other elected officials including the Clerk of court, State Attorney, Public Defender, Board of County Commissioners and the public. This position may serve as the Chief Judge’s, Trial Court Administrator’s or Okaloosa Administrative Judge’s designee on special projects, including but not limited to facility improvements and new court construction matters.
Manage Court facilities in two locations in Okaloosa County.
Schedule and coordinate courtroom space.
Assist property custodian for State and County property inventories.
Assist Judiciary and TCA in projecting space needs.
Serve as ADA liaison for accessibility to the courts.
Serve as Media liaison for court proceedings in Okaloosa County.
Assist with administrative support to the judiciary and county for the courts in Okaloosa County involving renovations and repairs to buildings and equipment.
Coordinate moves for furniture and furnishings between vendors and occupants and between facilities due to judicial office relocations as needed.
Serve as Court Administration’s public liaison in assisting with user inquiries and directing them to the appropriate point of contact for resolution.
Assist with preparation
Local annual county budget.
Review, approve and submit documentation for purchases.
Review, approve and submit expenditures and invoices.
Inventory, control and distribution of supplies and publications in Okaloosa
Prepare administrative order setting jury trials for County and Circuit Court.
Determine number of Juror summons to be issued by Clerk’s office.
Coordinate with Judges the number of Jurors to call for each trial week.
Coordinate with Clerk’s office the indoctrination of jurors and their timely release.
Serves as a member of Trial Court Administrator’s key staff.
Provide support to assist court managers who are not headquartered in Okaloosa County, for space needs and coordination of training and meetings in Okaloosa County for: Human Resources, Mediation, Family Law Pro Se, Domestic Violence, Mental Health, Court Reporting and Technology.
Other related duties as required by Supervisor
Interact daily with Judges, Judicial Assistants, and Support Staff. Serve as the Judiciary’s liaison with the Clerk of Court, State Attorney, Public Defender, Board of County Commissioners, Law Enforcement agencies, City Councils, and the public.
Frequent contact with Okaloosa county managers and departments.
Supervise one administrative assistant
Supervise Teen Court staff
Supervise Law Library staff
Conduct performance appraisals on staff supervised
Bachelor’s degree in business management, judicial or public administration, criminology or a closely related field.
Five years of related experience, including two years of supervisory experience.
Personal computers, a variety of printers, fax machines and copiers.
